Booking conditions

Introduction

Vildmark i Värmland, the company owning and running Klarälvens Camping, is a privately owned swedish company that offer accommodation and organizes timber rafting, canoeing and other outdoor experiences for individuals, companies and groups. Vildmark i Värmland with its legal name, Värmlands Vildmarksarrangör VIV AB (Org.nr. 556590-4371), is the responsible organizer. Address: Röbjörkeby 7, SE-685 92 Torsby. 

Reservation

You are welcome to book accommodation and other products offered by Vildmark i Värmland by telephone or e-mail/ internet. When booking, an invoice is obtained with name of the person responsible for booking and payment. This person will hereinafter be referred to as the guest. The guest has to be at least 18 years of age and he/she is obliged to provide Vildmark i Värmland with accurate booking and contact details. Any changes or cancellations must be made by the guest. The invoice is the agreement between the guest and Vildmark i Värmland. It should include the products and/or services that were reserved, time/place for the stay together with other eventual conditions agreed by Vildmark i Värmland in connection with the reservation. Guests who are booking are responsible of reviewing the invoice, and pointing out any possible errors. The contract is confirmed when the guest pays the deposit or the entire amount determined by the invoice to Vildmark i Värmland within the specified time. When using online booking no extra fee is added to your booking, otherwise you pay an additional fee of SEK 150. Online booking for accommodation can be made up until 1 day prior to arrival. 

Payment

The booking is contracted when the payment is completed, given that the booking fulfills the particular conditions. Otherwise the guest is contacted so that it can be corrected for the guest to receive the travel documents. Payment can be engaged via credit card (VISA or MasterCard). 

Cancellation

Cancellation is to be made by the guest to Vildmark i Värmlands office, via phone at +46560140 40 (if the office isn't open, leave a message to the answering machine)or via e-mail at: info@vildmark.se

When cancelling 8 days prior to arrival or earlier the cancellation is free. NOTE! This is not valid for groups or if the cottage is a part of an arrangement (read the conditions for arrangements). When cancelling within 7 before arrival, the full amount is charged.

Booking alteration

Modification of date is considered a cancellation and will be treated as one. Please note that if a cancellation insurance has been signed in connection with the booking, one change of dates within the current season can be made without additional fees if this is done by the guest at or before 2 days prior to arrival, in subject to availability. Other alterations of the reservation such as adding people or products can be done as long as such a service is available. Contact Vildmark i Värmland via e-mail or phone.

When booking an accommodation, a common cancellation insurance can be signed. This will protect the guest from cancellation fees if the accommodation is cancelled due to one of the following reasons: 

a) Severe disease, accident or case of death that affect the guest, a close relative to the guest, or if the person travelling with the guest has cancelled due to one of the reasons given above. 
b) Other unpredictable incident that affects the guest of such magnitude that the guest could not attend the reserved event, such as a fire accident in the home.

The guest may either receive the full amount paid back minus the handling charge (50 SEK/cottage) and the cancellation insurance cost (200 SEK/cottage), or the proposition of rendering the same or similar stay at Klarälvens Camping at another given time (the next season at the latest, however this does not imply on single travellers that are part of a group).

Certificate from doctor or Insurance Company has to be presented within 10 days after the cancellation was made. The certificate has to indicate why the guest should not attend the booked journey.

Guest´s responsibility

1) General

Being able to receive important messages at the phone number or e-mail address provided when making the reservation. Check the confirmation invoice to assure that it contains the correct information. Errors shall be pointed out promptly. The guest will inform his/her fellow travellers about what has been booked and the conditions for the event. Please have an insurance that would cover any possible damage that can occur to the accommodation and equipment at Klarälvens Camping.


2) At accommodation

Smoking is prohibited in all cottages, rooms and other buildings. Breaking this rule leads to a fine of 1000 SEK/accommodation. The guests bring their own bed linen if this hasn't been rented when booking. The guest should clean the cottage if no cleaning services have been booked the day before arrival, at the latest. If the cottage is not cleaned a fine of 600 SEK/ cottage will be charged. All keys to rented cottage are to be returned at departure. Lost keys will be debited with 500 SEK/ accommodation. The guest is responsible for any damage that occurs onto the property and its furniture if the guest and his fellow travelers have been careless. In the cottage no unauthorized people are allowed to live, only the amount of people that was provided when booking. Between 22.00 and 07.00 the guest is to observe the utmost account and silence, due to other guests in the area. If complaints about disorder are filed from other guests to Vildmark i Värmland, we have the right to execute an immediate eviction of the guest if correction is not made instantly when ordered to. No refund is available for any remaining period of residence.

Organizers responsibility

When the full payment for the accommodation has been received, Vildmark i Värmland will provide the guest with more information concerning the accommodation and stay. Vildmark i Värmland reserves the rights to alter an accommodation due to external factors we can't control.

Consumer complaints

Any eventual complaints about the arrangement have to be presented immediately by the guest to Vildmark i Värmlands office by phone 0560-140 40 or to any instructor working for Vildmark i Värmland. It is important that the guest communicates these complaints immediately so that Vildmark i Värmland has the opportunity to solve the issue as soon as possible. If the guest has failed to express his/her complaint we cannot offer compensation. If the guest still isn't pleased with the solution or the compensation provided, a written complaint is to be sent to Vildmark i Värmland within 14 days after the arrangement has ended. If the guest and Vildmark i Värmland disagrees, the guest can turn to the National Board for Consumer Complaints (ARN), whose decision Vildmark i Värmland will yield.

Personal data act

When paying for the arrangement to Vildmark i Värmland the guest agrees to that all personal data may be used for internal administration purposes by Vildmark i Värmland. Vildmark i Värmland will take all necessary measurements to assure that the personal data of the guest is treated safely.

Force Majeure

Both parties have the rights to withdraw from the booked stay if it can not be executed due to war, natural disasters, labour disputes, major disruption of water or energy supply, outbreak of fire or any other similar major event that precludes the journey from being completed. Events that the organizer cannot foresee or influence when the agreement was made. During these circumstances the organizer is not obliged to pay any indemnity fees or other penalties.

Contractual and legal relationship between guest and Vildmark in Värmland is solely based on Swedish law.
